Job Description

Grafton Recruitment are working in partnership with a large public sector organisation to recruit a temporary Examinations Officer to start ASAP for a duration of 6 Months (initially)

Pay rate: 0-12 week's £12.71 per hour

13+ week's £12.71 per hour

Location: Belfast, BT3

Hours: Mon - Fri (9.00am - 5.00pm)

Essential Criteria

  • EITHER hold a Level 4 qualification (or equivalent) in a relevant discipline PLUS a minimum of two years' experience working in an examinations administrative setting
  • OR have a minimum of four years' experience working in an examinations administrative setting
  • English GCSE (Grade C) or equivalent qualification
  • Maths GCSE (Grade C) or equivalent qualification
  • Have a minimum of one year's experience managing and supervising staff
  • Demonstrable experience of managing an effective examinations administration service including Access Arrangements
  • Experience in the use of ICT systems, Eg. Microsoft Excel, Word and Outlook, Internet and Internet applications.
  • Experience of dealing with customer enquiries and providing high quality customer service.

Duties

  • This post holder will implement policies and operational plans to develop responsive and innovative examination office for students. The post holder will ensure standards of excellence in managing examination administration processes. As a line manager, the post holder is expected to achieve a positive environment for both staff and students by liaising and co-operating with other cross college units to ensure examination administration is managed efficiently and that all resources are appropriately deployed. Ensure that the College appeals mechanism is applied where necessary.

    The post-holder is responsible for maintaining and developing the College's examination office. Using QLS for registration and maintaining Electronic Data interchange (EDI) for entry and capture of results.

  • The post holder in conjunction with campus administration will play a lead role in instilling a learner focused Customer Care environment. The post holder will conduct an annual self assessment review in line with the requirements of the College Student Voice strategy.

    1. Management

    To manage effectively all aspects of the Examination Office.

    To engage in the production and implementation of the operational plan for the Examination Service.

    To manage and lead the work of the Examination Office.

    To identify, manage and lead a team deployed within the Examination Service.

    To encourage innovation within the Examination Service to meet the needs of the organisation.

    Interpret changes in response to amendments made by awarding bodies, including the introduction of new standards by rolling out base line procedures.

    To identify training needs for staff deployed within the Examination Office including invigilators.

    To participate in the selection, induction and probation of staff, in line with relevant College policies and procedures.

  • Human Resource Management

    To ensure all staff within the relevant area of accountability are working efficiently and effectively and to take action if standards are not maintained.

    To ensure the implementation of effective and equitable procedures within the framework set by the College for the recruitment, selection, appointment, grading, appraisal, discipline and performance management of all staff within the Examination Office.

    To effectively line manage members of staff within the Examination Office and provide support to these employees in the discharge of their line management responsibilities.

    To ensure rules and regulations relating to the following statutory requirements are being fully observed and implemented both by the post holder and reporting staff.
