Job Description

Grafton Recruitment has been appointed as HSCNI's recruitment partner of choice for Admin, clerical and Support Services.

Full time Stores Clerk Administrator required on a temporary basis based in Kennedy Way NIAS headquarters

Main duties/Responsibilities:

** Full Clean Driving licence required for this role**

  • To maintain stock levels for the various stores held at Stores Department in line with good practice.
  • To assist, as directed, in the requisitioning, receipt, custody and issue of all stock items which are the responsibility of the Stores Manager.
  • To assist, as required, in undertaking spot checks on stock items and annual stocktaking and report findings to the Stores Manager.
  • To take all necessary steps to ensure security of stocks, adhering to appropriate procedures at all times.
  • To analyse data in relation to stock levels, orders, deliveries, receipts, lost/damaged items of stock, repairs or returns, expiry dates.
  • To follow up orders with contractors, obtaining prices, deliveries and non-delivery information, as required.
  • To communicate with internal/external stakeholders in relation to issues such as negotiating costs, delivery times and provide advice on supplies.
  • To provide a daily courier service as and when required, including the delivery of confidential mail on behalf of Human Resources.
  • To work with junior/new staff, advising of procedures and allocating work, were appropriate.
  • To liaise directly with Pharmacy and with NIAS Senior Officers to comply with current legislation for the supply and delivery of drugs to stations/locations across the Trust.
  • To examine, maintain and repair where possible, essential medical equipment, ie, entonox, microvent and defibrillators, to ensure their continued function to prevent additional costs to the Trust.
  • Financial Responsibilities
  • To ensure financial authorisation control limits are adhered to by those ordering stock etc.
  • Responsible for signing out of equipment to staff/managers within agreed financial limits.
  • Information Resources
  • To maintain Stores information systems (manual and computerised) in respect of stock, non-stock and fuel.
  • General
  • To assist in the promotion of good communications between Stores department and relevant stake holders on all matters affecting the issue, receipt and custody of stock, re-order levels and other matters of common interest.
  • To undertake any other duties relevant to the post as may be assigned from time to time which are consistent to with the responsibilities of the Band.
  • Contribute to the development of policies associated with the smooth running of the Stores Department.
  • To provide an emergency maintenance repair facility where practical, to help maintain the Ambulance Service estate.
