Job Description

Our client in Ballymena area are looking to recruit a Clerk Typist to join their team.

36.25 hours per week (Mon-Fri)

The main purpose of job:

To provide financial and administrative support for personnel and training, community development. operational and business functions within the district


  • Reception duties to include operation of switch board and initial point of contact for all visitors
  • Sort and distribute district correspondence applying appropriate levels of sensitivity, confidentiality and security of information
  • Co-ordinating the completion of daily administrative workload including where appropriate the provision of task related training
  • Ensuring input and update of emergency contact details for all district
  • Responsible for administration of the imprest account including the calculation and validation of payments, banking, maintenance and security of petty cash in compliance with policies and guidelines
  • Administration of occupational health appointments ensuring all processes are adhered to in relation to attendance management policy and medical programme
  • Ensuring that a register of all personnel is maintained detailing appointments, transfers, promotions and retirements facilitating medical planning
  • Operation of the community development management information system to include creation of premises record cards, issue of job sheets, production of statistical reports and validation and checking of codes
  • Confidential duties including the maintenance and administration of all documentation in compliance with policies and data protection e.g. personal files, sensitive personal information, occupational health referrals, discipline etc
  • Production/collation of statistics/reports in support of the personnel and training, community development, operational and business functions
  • Administration and maintenance of a district driving licence database monitoring the compliance with statutory and organisational requirements and as required assisting in the processing of driving licence application to DVLNI
  • Administration of road & abandonment's schemes carried out at district level adhering to the service level agreements
  • Administration of retained temporary promotions
  • Attendance at meetings and preparation of minutes
  • Creation, maintenance and administration of databases, spreadsheets etc within the district as required
  • Ensuring maintenance and upkeep of office equipment and reporting of defects
  • Ensuring the maintenance of adequate stationary stock including requisitioning supplies
  • General administrative support e.g. creation and maintenance of filing systems, routine filing, photocopying, laminating, faxing etc
  • Participating in relevant training and development
  • Securing the premises/offices when required
  • Other admin duties as required

Essential Criteria:

  • A minimum of 3 GCSE's, Grade C+ including Maths and English
  • RSA STAGE 2 Word processing or equivalent
  • Experience of operating computerised systems in a working environment
  • Experience of telephonist/Receptionist duties

Hourly rate: £8.00 per hour
