Main Purpose of Post/Job Summary

To provide a welcoming and positive first point of contact for callers in the Facility, be responsible for handling cash payments and provide efficient administrative support.

Duties and Responsibilities

  • General reception duties, including the operation of a switchboard and dealing with all enquiries from the public/visitors and directing all callers appropriately.
  • Dealing with general information queries where possible and directing calls to officers or other agencies as appropriate.
  • Responsibility for carrying out a full range of administrative duties including typing, filing, faxing, photocopying, and using a full range of Microsoft office applications.
  • Arranging and maintaining computerised and manual filing systems.
  • Assisting in the preparation of reports
  • Cash handling duties and associated paperwork including receipt of payments, operation of cash system and the safe keeping and lodgement of such monies in accordance with Council procedures
  • Responsible for keeping a detailed and up-to-date records of Hire Equipment Stock, and Lost Property, and for informing Management of requirements.
  • Responsible for keeping a daily check and following up of unpaid bookings and activities.
  • Working in conjunction with other staff in accordance with procedures in the event of an emergency.
  • Maintaining records of various kinds including sales information, correspondence lists, stock information, attendance statistics, class enrolments etc.

No Job Description can cover every issue that may arise within the post at various times and the post holder is expected to carry out other duties from time to time which are broadly consistent with those in this Job Description.

Essential Criteria

  • Grade C or above in at least 4 GCSEs or equivalent, one of which must be GCSE English Language or equivalent and one of which must be a GCSE in a numerate subject or equivalent.
  • OCR Stage II or equivalent in Word Processing; or be able to demonstrate competency in word processing.
  • At least 6 months' previous experience of customer service and reception duties.
  • At least 6 months' experience of handling cash and keeping associated records in a work environment.
  • Previous experience in the use of Microsoft Office applications (which includes Word, Excel, Email).
  • Have a good understanding of office procedures relevant to the post.
  • Access NI check (basic disclosure).
