Job Description

Reservations, Meetings and Events Office Manager

  • Manages the reservations & M&E team members and executes training plans, coaches and mentors employees.
  • Actively works on improving conversion of booking enquiries, for both M&E & Room Reservations by monitoring productivity within the office and provides coaching and training when required,
  • Sets up and maintains filing, trace, and communication systems, and follow-up procedures in line with the hotel's guidelines,
  • Ensures proper PMS data management, i.e. balancing room types, profile management, sources creation for sales, etc in an accurate and timely manner
  • Ensures active communication between the Sales team and Front Office team of all reservations related issues
  • Ensures active communication between the Sales teams, M&E Operations, Chef and F&B for all M&E Reservations
  • Assists in the lead generation and Referral of business for the sales team by analysing current business, lost/denied business and identifying potential new business through the office
  • Delivers a pro-active sales culture within the Office to ensure all budgeted revenues are achieved
  • Plans and co-ordinates in-house activities and package plans in conjunction with the Cluster Revenue Manager and assists in communication and delivery with Sales & Hotel Operation Team
  • Follows-up with guests to determine satisfaction; measures results and establishes strategies to improve the quality of the guest experience,
  • Controls and regularly chases open PM's related to rooms reservations and M&E
  • Accountable for all function sheets, proposals and contracts are produced to optimise guest satisfaction and reflecting guests requirements,
  • Participates in the hotels month end reporting as required by FC/EAM
  • To be fully aware of budgeted and actual departmental financial targets. This to include room sales and M&E
  • Sets any team member personal objectives and targets in line with the departmental/hotel and Area strategies and KPIs
  • Improves revenues for Rooms Reservations and M&E working alongside the Cluster Revenue Manager to ensure the right business is taken at the right price
  • Ensures the correct market segmentation is used for all bookings and the correct rates are processed through the PMS
  • Ensures all inputting of data is timely and accurate to support the correct Analysis by the CRM offering any additional information/data to support any decision making necessary.
  • Constructs with the support of the team the forecasted Groups business and M&E business and communicates to the CRM/GM.
  • Performs duties and responsibilities as assigned by the General Manager/EAM & CRM

  • Valid work permit
  • Qualified to Degree level preferably in a Hospitality/Event Management related discipline or equivalent time in the hotel Industry
  • Min 3 years Management Group, conference and events department
  • Experience of working within the Rooms Reservations Department
  • Min 7 years' experience in the hotel industry
  • Like for like sized team management experience
  • Experience of Like for like market dynamic
  • Experience of varying M&E Event Types in like for like M&E hotel size and configuration
  • Strong communication skills both written and verbal English with all levels of the business.
  • Min 2 years' experience in S&C and configuration
  • Proficient use of Microsoft Office related products specifically Excel and Outlook
  • The production, implementation and measurement of standards of procedure


  • Qualified user of Opera PMS and S&C
  • Principles of bedroom Revenue Management
  • Revenue Management concepts in Meeting and events
  • Certificate of achievement in excel skills intermediary and/or advanced level
  • Microsoft Office related product training
  • Proven proactive sales results
  • Evidence of involvement in successful marketing activities
  • Rooms Revenue Management
  • Experience of working with offsite Sales representatives and Revenue Management
  • Implementation of Standards Of Procedure impacting M&E Conversion
